Exciting Opportunity: Program Assistant Role with the World Bank
Position Overview
As a Program Assistant with the World Bank, you will provide crucial administrative support to our teams working in the Infrastructure (INF) and Human Development (HD) practice groups in Paris. You will be responsible for managing calendars, organizing meetings, handling inquiries, and facilitating procurement and travel arrangements. This role offers an exciting opportunity to contribute to the implementation of development projects and initiatives in Western and Central Africa.
Key Responsibilities
Your duties and responsibilities as a Program Assistant will include:
- Providing administrative support to staff from the INF and HD practice groups based in Paris.
- Managing calendars, organizing meetings, and ensuring that background materials are available.
- Handling inquiries and communicating information to internal and external stakeholders.
- Facilitating procurement processes, including hiring consultants and firms and coordinating invoicing.
- Managing travel arrangements for staff and consultants, including submitting travel expenses.
- Assisting with office logistics, such as ordering supplies and maintaining staff directories.
- Collecting and organizing background material for meetings and preparing draft correspondence.
- Providing back-up support to other Program Assistants and assisting with ad-hoc tasks as needed.
Qualifications and Experience
To be successful in this role, you should have:
- A bachelor’s degree with at least 5 years of relevant experience, or an equivalent combination of education and experience.
- Previous experience with project teams and knowledge of World Bank policies and procedures (desirable).
- Outstanding interpersonal and communication skills, with the ability to interact effectively with stakeholders at all levels.
- Strong organizational skills and the ability to prioritize and balance competing demands under pressure.
- Proficiency in Microsoft Office applications, including Outlook, Excel, and Word.
- Fluency in English; proficiency in French is desirable.
